Council Positions

Each council will draft its own constitution outlining the duties and responsibilities of its members. For details on text, membership information, articles, and more, please review our sample constitution for The Guilford House [PDF, 15KB].

In addition, there are several outlined positions available on the council, whose responsibilities have already been outlined. Other positions may be created, as determined by the councils, but each council begins by electing or appointing the following positions:

President

It is the job of the President of each council to:

  • Lead the College Council in order to ensure the building of a better community for residents
  • Preside over weekly council meetings--write agendas, control flow and conversation
  • Facilitate the organization of council events--make sure everyone is doing their part
  • Mediate council conflicts using the correct avenues—speak and co-mediate with Assistant coordinator and/or Council liaison
  • Attend weekly RHA General Body meetings
  • Serve on RHA committees
  • Help with RHA events
Vice President

The Vice President must:

  • Attend weekly RHA General Body meetings
  • Serve on RHA committees
  • Help with RHA and Council events
  • Work with the Advocacy Rep to assess opinions about housing and residence life
  • Organize collaborations between the council and other organizations
Social Coordinator

The primary job of the Social Coordinator is to:

  • Develop social and educational program ideas
  • Delegate, oversee, run, and seek feedback about programs and the interests of fellow residents
  • Advertise for programs with Public Relations chair--use wall, fliers, table tents, teasers, posters in the dining halls, advertise on both sides of campus
  • Follow program planning form to organize and evaluate council programs
  • Work with Vice Presidents to collaborate with other organizations
Secretary

The Secretary must:

  • Take and distribute minutes
  • Produce newsletters for the community
  • Manage council e-mail list serve
  • Help with council events
Treasurer

The Treasurer is expected to:

  • Keep a record of all financial transactions and accounts of the hall or college
  • Prepare of all requests for additional funding
  • Collect receipts for reimbursements
  • Record and monitor all monetary donations during community service drives
  • Meet with advisors to discuss the council’s financial status
Public Relations

The Public Relations Chair is expected to:

  • Update and maintain the council website
  • Advertise for community, council, and RHA events
  • Create inventive bulletin boards promoting Council, RHA, and Housing for the Community
Advocate

The Advocate will:

  • Communicate with students to be aware of student needs and concerns
  • Work with the Vice President of Residential Relations and Residential Relations committee
  • Attend Residential Relations committee meetings periodically
  • Work with Council VPs to hold community forums in the halls and collect resident feedback
  • Help the Vice President of Residential Relations organize food committee meetings periodically and attend these meetings
  • Relay information they learn in meetings to BOTH community councils and their residents
Outreach

Outreach must:

  • Attend External communication meetings at request of Vice President of External Communication
  • Support sustainable initiatives and develop programs and activities that encourage sustainable attitudes
  • Communicate with Student Sustainability Council and the campus Sustainability Coordinator
  • Coordinate community service events and communicate Center for Civic Engagement and Learning events to their community
Historian

The Historian is required to:

  • Record the events of events, programs, etc.
  • Explore new types of media to do so
  • Work closely (if necessary) with the VP of Administration
  • Play a strong role in the COTY presentations and creation
  • Create a passable form of record of the councils goals and accomplishments for the future years' councils
  • Organize council’s Of The Month award nominations
