Reservation and Catering Guidelines

Looking for a great location to host your next party or event? Case organizations and outside groups are welcome to reserve The Spot and The Rough Rider Room when scheduling their next event. Each facility offers unique setups that are perfect for many campus events.

The Spot

The Spot offers seating in the bar area and game room. (Maximum capacity is 450.) The facility offers a variety of audio and visual equipment, game tables, TVs, and a sound system. It is available for rental during the week, as well as weekends. It is open Sundays through Thursdays from 6 p.m. to 1 a.m., although Wednesday nights are reserved for University Program Board (UPB) events. On Fridays and Saturdays, The Spot is open for student group events.

The Rough Rider Room

Smaller parties work well at The Rough Rider Room, which seats from 30-135 people. It is available for rental during the week, as well as weekends. It is open Sundays through Thursdays from 7 p.m. to midnight, although Thursday nights are reserved for University Program Board (UPB) events. On Fridays and Saturdays, The Rough Rider Room is open for student group events.

Beverage and Menu Options

Both locations are licensed to serve alcohol. Groups that wish to serve alcoholic beverages at their events must purchase their beverages from The Spot or The Rough Rider Room. Groups also are required to follow the alcohol use guidelines regarding the sale and use of alcohol. If any person attending the function brings in alcohol illegally, the event will be shut down immediately. When advertising your event, you are not permitted to advertise the availability, cost, or brands of alcohol that will be served.

Beer and wine are available at The Spot, while only beer is available at The Rough Rider Room. We also provide non-alcoholic beverages and limited food service. (Please refer to our regular menu, as well as the catering options that are currently available.) We offer separate catering prices for university groups and non-affiliated organizations.

Groups are permitted to bring in food not supplied by The Spot, and catering options are flexible. Groups must inform the Coordinator of Residential Program Centers of any food arrangements they have made in advance. In addition, groups are permitted to decorate the facilities for an event, as long as the facilities are returned to their original condition upon event completion.

Event Set-Up and Clean-Up

Groups are permitted to re-arrange tables, chairs, and couches for their event; however, furniture must be returned to their original set-up before leaving the facility. Decorations also may be used and should be removed after the event has ended. The group may be assessed a damage fee if there is damage to walls, ceilings, furniture, etc.

The sponsoring group also is responsible for clean-up following an event. Please organize your own "clean-up commitee" that can address the following guidelines prior to leaving the premises:

  • Tables, chairs, and bar must be cleaned and wiped down.
  • Floors must be swept
  • The group making the reservation is responsible for any damage to furniture, floors, equipment, etc., resulting from the group's use of the facility. The group is subject to additional charges if damage occurs.
  • Clean up fees vary from facility to facility.
  • Kitchen clean up is the responsibility of the Spot/RRR staff.

Events must end no later than 1 a.m. All trash and equipment removal must be completed at this time. Groups will be assessed an additional $25.00 per hour or pro-rated fee, past the reserved time. If warranted, the facility manager has the authority to close down a party when the behavior of the group does not comply with university regulations and/or Ohio State laws. If alcohol is served, the bar will close one half hour before the event ends. A reservation agreement form must be completed, signed, and faxed to the Coordinator of Residential Program Centers at 216.368.6658.

Fees

  • A $50 non-refundable fee is required when you request a reservation for weekend special events.
  • A $20 per hour fee may be assessed depending on group requirements. This fee is assessed when set-up begins and ends after clean-up is completed.
  • Security is required when alcohol is sold, per university guidelines. In addition, a security officer may be needed for groups with more than 75 people even when alcohol is not served. This fee will be negotiated prior to booking with the Office of Case Police and Security. Security costs are billed at a rate of $30 per hour.

Reservations

  1. Fill out the reservation agreement form and fax it to the Coordinator of Residential Program Centers at 216.368.6658.

  3. Contact the Coordinator of Residential Program Centers by phone at 216.368.4802 or complete the online reservation form.
  4. Once we review your request, we will determine whether security is needed, and whether the group is advised to obtain a Case alcohol permit.
  5. Reservations must be made at least 10 days in advance of the event.
  6. The contact person will receive written confirmation of the reservation within one week of the reservation.
